MyFestival will help you with all three phases of the entry and scheduling process:
Data Submission - During this phase, students complete their entry forms and submit them to their director along with the entry fee. The directors use MyFestival to submit the entry data online. Directors also print a summary list of their entries to give to the host director along with a check from the school for the total of all submitted entries. Schedule Services - During this phase, a schedule is prepared by Kilgore Computing Services (KCS). The schedule is made available on your MyFestival website approximately one week after the data submission phase is completed. Schedule Review - During this phase, all participants (directors, accompanists, and students) use MyFestival to review their own individual schedule. Any time conflicts are reported to the website contact for resolution. The host director also provides the names of the judges and the room numbers during this phase. The host then reviews the room schedules and shares them with the judges to insure that there are no teacher/student issues that would preclude a student from being in a particular judge's room. There are two plans from which you can choose:
Note that both plans provide a schedule and the adjudication forms that are used by the judges to provide their ratings and comments. The performance specific information at the top of each adjudication form is printed on the form using the data provided by the directors when they registered their students. A complete list of the differences between the two plans is shown in the table at the end of the page. FREE Website The best way to understand how your MyFestival website would work is to try it out for yourself. A free preview website is available for you to test. Phases 1 and 2 (data submission and schedule services) of the process are assumed to have already been completed. The site includes sample performance data and a schedule based on that data. The directors part of the site will show you how directors submit their performances data. Note, any new submissions entered using the directors part of the site will not appear in the schedules since the schedules were prepared using the sample data from the already completed phase 1. The festival hosts and schedules parts of the website are just as they would be on your own website. Thus, you can add new performances using festival hosts and they will appear in the schedules. You can also make any other changes that you want and see all of the available reports. Your preview website will remain online for up to one year to allow you time to complete your evaluation of the system. When you decide which scheduling plan best fits your needs, then download and complete the contract.
Mail the signed contract to KCS at the address indicated. Your website will be available for use within a week of receipt of the contract and you will receive an email when it is ready. Feel free to contact us by Email if you have any questions.
